KSeF: National e-Invoice System – Rules & Deadlines 2026

This is an important change for entrepreneurs who issue invoices. According to the Ministry of Finance, KSeFThat is National e-Invoice Systemis a platform for listing, transmitting, receiving and storing invoices. Why KseF is being introduced? This is a big change, but proper preparation will help you avoid problems and ensure a smooth transition to the new system.

“Of February 1 2026 r. KSeF covers all entrepreneurs and invoice issuers in Poland in stages. The implementation of KSeF serves to digitize the invoicing and invoice accounting processes. It also allows you to avoid errors when issuing them,” the ministry says.

According to the ministry, from February 1 it will be possible to collect invoices in: KSeF using free tools provided by the ministry:

  • KSeF Taxpayer application – available at www.ksef.podatki.gov.pl.
  • KSeF Mobile Application – available from February 1 to download to your phone.
  • e-micro company – access via e-Tax Office

Therefore, you should choose one of these methods. If an entrepreneur has a Tax Identification Number, he or she already has basic rights to use it KSeF. However, if he does not run a sole proprietorship but operates in another form and does not have a qualified seal to gain access to KSeF must submit the ZAW-FA form to the tax office. Then he should log in using either a Trusted Profile or a qualified signature. Finally, after logging in to one of the free tools of the Ministry of Finance, go to the “Invoice List” tab. This is where all invoices issued for him will be found KSeF.

Second stage of implementation KSeF falls on April 1 – for all entrepreneurs and those issuing invoices, except up to PLN 10,000. PLN per month (for these the obligation will enter into force on January 1, 2027).

A good practice is to follow the announcements of the Ministry of Finance and use free test tools that allow you to familiarize yourself with the functioning of the platform before its mandatory implementation. You can also consult a tax advisor or accountant to avoid mistakes and ensure a smooth transition to the new system.

However, this will change next year – from January 1, 2027, severe sanctions are planned: up to 100 percent. VAT amount from an invoice issued outside the system or up to 18.7%. gross amounts (for invoices without VAT).
